USE CASES · AUDIT & COMPLIANCE

Controlled document management that keeps one approved version in use.

The moment a document controls how work is done, an SOP, a work instruction, a form, treating it like an ordinary file becomes a risk: multiple versions circulate and nobody can prove which one is current. Abscode gives every controlled document one enforced lifecycle: drafted, approved, published and distributed, with the full history kept as its own audit trail.

THE PROBLEM

Not every controlled document belongs to a standard

SOPs, work instructions, forms and manuals across any regulated process all need the same discipline: one current version, approved, distributed, with a history. The moment a document controls how work is done, treating it like an ordinary file becomes a liability. Multiple versions circulate, people work from whichever they saved, approvals are informal, and there is no reliable record of who holds the current copy.

Shared drives offer no version control, no approval and no distribution control. Proving that people are working from the right, approved document becomes manual effort every time, and in a regulated process that is not untidiness, it is risk.

HOW IT WORKS IN ABSCODE

Every controlled document runs one enforced lifecycle

Each stage has a clear owner and a clear hand-off, so a new version cannot go live without sign-off and an old one cannot stay in circulation once it is superseded.

STEP 1 · DRAFT

An author prepares the new version

The document owner drafts the new SOP, work instruction or form, working from the current version and its history rather than a copy someone kept on a drive.

STEP 2 · REVIEW & APPROVE

The right authority signs off

Maker-checker review and approval run on the document, with remarks written to the trail, so every version that goes live has been checked by the person accountable for it.

STEP 3 · PUBLISH

The new version goes live

On approval the new version is published and the previous one is superseded automatically, so there is never a question of which copy is current.

STEP 4 · DISTRIBUTE

Only the current version is available

The approved version is available only to those with rights, and the full history is retained behind it, so people work from the right document and nothing is lost.

Check documents against your template

Abscode can analyse a controlled document against your standard template or a clause checklist and flag where it departs from the required structure, so documents from many authors conform before they are approved. It turns a manual read-through into an automatic, consistent check on every version.

DOCUMENTS & RECORDS KEPT

The audit trail is the document itself

Each controlled document is a record you retrieve by what it is about, its ID and version, not by remembering which folder someone saved it in.

Everything held on the record

Each controlled document is held with its ID, version, effective and review dates, owner and complete change history, so every version, approval and change stays with the document as its own audit trail.

Index fields you actually search on

Each document carries the fields you search and report on, such as document ID, version, owner, department and review date, so the current copy surfaces in seconds.

Reviews on schedule, renewals watched

A controlled document carries a review date, and letting it pass is a finding waiting to happen. Abscode raises a review workflow before the date falls due, and you can schedule a periodic review of a whole set so it recurs on its own. Every controlled document is revisited on time, with the record to show it.

CONFIGURABLE TO YOUR POLICY

The default lifecycle works out of the box, then adapts to you

Set who approves, the review cycle and controlled distribution, from the default flow, without code. It works whether or not you hold a formal certification, and the same model runs every compliance process, so nothing here is a one-off.

WHY TEAMS CHOOSE ABSCODE

Control that is built in, not bolted on

The three things that make a controlled document trustworthy, built into the process rather than left to whoever last saved the file.

Records, not folders

Everything about a controlled document lives in one record, retrieved by what a document is about, its ID and version, not by which folder someone saved it in.

The system does the data entry

Abscode reads each document, extracts the fields that matter and verifies them against the document type. No manual typing, no misfiled paper.

Real approval workflows

Maker-checker, review and sign-off are built in, with a complete audit trail on every action you can hand to an auditor.

Pay for usage, not per user

Give your whole team access. You pay for what you use, not for a seat count that punishes you for growing.

Proven where it counts

Abscode DMS is built on a document platform proven at massive scale, billions of records and millions of pages in production.

QUESTIONS?

Frequently asked

How is this different from the ISO document control page?
Same engine, different framing. ISO document control is for organisations certifying to a standard; controlled document management is the general capability for any regulated process, SOPs, work instructions and forms, whether or not you hold a certification.
Can we stop people using an old SOP?
Yes. Publishing a new version supersedes the previous one and distribution is controlled by access, so only the current version is in use.
Is there a full change history?
Yes. Every version, approval and change is retained, so the document's history is its own audit trail.
Can it check a document against our template?
Yes. Abscode can analyse a document against your standard structure or clause checklist and flag anything off-standard before approval.
